WhatsApp Messages for Tuition and Coaching Classes

Tuition centres run on WhatsApp — admissions, fees, timings, absences and results all move through it, usually typed out fresh each time by whoever is free. The messages below are the ones that repeat. Each is written for the person actually reading it, which for a coaching class is usually a parent deciding whether this centre is organised enough to trust with their child.

Admission enquiries

The parent is comparing you with two other centres. Answer the three things they will ask anyway — batch, fee, results — before they have to ask.

Namaste {{Parent name}} 🙏 This is {{Institute}}. Thank you for enquiring about {{class/subject}} coaching. Batch timings: {{timings}}. Fee: {{amount}} per {{month/term}}. We have {{seats}} seats left in the {{month}} batch. Would you like to book a free demo class?
Hello {{Parent name}}, {{Institute}} here. For {{class}} {{subject}}, we run {{batch size}}-student batches — {{days}}, {{time}}. Our {{year}} results: {{result proof}}. Shall I send the fee structure and the syllabus?
Hi {{Parent name}}, thank you for your interest in {{Institute}}. Before I send details — is this for {{Class X}} board preparation or {{competitive exam}}? The batches and the fees are different, and I would rather send you the right one.
Hello {{Name}}, {{Institute}} — {{exam}} coaching in {{area}}. Our next batch starts {{date}}. Free demo class on {{demo date}} at {{time}}, no obligation. Reply YES and I will reserve a seat for {{student name}}.

Fee reminders

Firm, factual, and never in the group. Fee messages go to the parent privately — a public reminder embarrasses the family and costs you the student.

Dear {{Parent name}}, this is a reminder that {{student name}}’s fee of {{amount}} for {{month}} is due on {{date}}. You can pay at the centre or here: {{link}}. If it is already paid, please ignore this message.
Hello {{Parent name}}, {{amount}} is pending for {{student name}} ({{class}}) for {{month}}. Kindly clear it by {{date}}. If there is any difficulty, please speak to me directly — we can work something out.
Namaste {{Parent name}}, thank you for the fee payment of {{amount}} received on {{date}} for {{student name}}. Receipt number {{number}}. Next due date: {{date}}.
Dear {{Parent name}}, {{student name}}’s {{term}} fee of {{amount}} is due {{date}}. Instalment option is available if that helps — reply INSTALMENT and I will send the schedule.

Class timings, changes and cancellations

Send changes as early as you know them, and repeat the new time in the message rather than saying "as discussed".

Dear parents, tomorrow’s {{subject}} class ({{class}}) will be at {{new time}} instead of {{old time}}, because {{reason}}. Venue unchanged. Please confirm you have seen this.
Notice: {{Institute}} will remain closed on {{date}} for {{reason}}. Classes resume {{date}} at the usual time. The {{subject}} topic missed will be covered on {{date}}.
Dear parents, {{subject}} class on {{date}} is cancelled as {{teacher name}} is unwell. A make-up class is scheduled for {{date}} at {{time}}. Apologies for the short notice.
{{Class}} students: from {{date}}, {{subject}} moves to {{new day}} {{new time}}. This is to avoid the clash with {{reason}}. Timetable updated — please note it down.

Online class links and joining instructions

Send the link twice — the evening before and fifteen minutes before. The second one is what actually gets attendance.

Dear parents, tomorrow’s online {{subject}} class for {{class}} is at {{time}}. Join link: {{link}}. Please ensure {{student name}} joins 5 minutes early with the {{material}} ready.
{{Subject}} class starts in 15 minutes. Join here: {{link}}. Today’s topic: {{topic}}. Please keep microphones muted unless asking a question.
Hello {{Parent name}}, {{student name}} could not join today’s online class. The recording is here: {{link}}, valid until {{date}}. Please make sure the homework is submitted by {{date}}.
Dear parents, from {{date}} online classes move to {{platform}}. New joining link: {{link}}. The old link will stop working after {{date}}. Please save this one.

Attendance, tests and results

Report the result and the next step together. A mark with no plan attached worries parents without helping them.

Dear {{Parent name}}, {{student name}} was absent from {{subject}} class today ({{date}}). Today’s topic was {{topic}}. Please ensure the notes are collected before the next class.
Hello {{Parent name}}, {{student name}} scored {{marks}}/{{total}} in the {{subject}} test on {{date}}. Class average was {{average}}. Areas to work on: {{topics}}. We are giving extra practice on these from {{date}}.
Dear parents, the {{subject}} test for {{class}} is on {{date}} at {{time}}. Syllabus: {{chapters}}. Please make sure revision is done — results go out on {{date}}.
Dear {{Parent name}}, {{student name}} has shown clear improvement in {{subject}} — from {{old marks}} to {{new marks}} this month. Well done to them. Continuing the same practice schedule.
Hello {{Parent name}}, I would like to discuss {{student name}}’s progress in {{subject}}. Are you free for a short call on {{date}} at {{time}}? It is nothing serious — I just want to plan the next term properly.

Group descriptions for a class or batch

Set this when you create the group. It is what stops a parent group turning into forwards and good-morning images.

{{Institute}} — {{Class}} {{Subject}} Batch {{year}}. Official group for timings, homework, test dates and results. Posts by admin only. For fees or personal queries about your child, message {{name}} directly on {{number}}. No forwards please.
{{Institute}} | {{Exam}} {{year}} Batch. Class updates, study material and test schedules are posted here. Doubts go in the doubt group: {{link}}. Group hours {{hours}} — messages outside these will be answered next morning.
Official parents group — {{Institute}}, {{Class}} {{section}}. Only academic updates are posted here. Please do not share forwards, greetings or promotions. Fee and attendance queries: message the office on {{number}}.

New batch and re-enrolment announcements

Existing parents first, and say so. It is true, it is cheap, and it fills seats before the advert runs.

Dear {{Parent name}}, admissions for the {{year}} {{exam}} batch open on {{date}}. Existing students get priority and {{discount}} until {{date}}. Shall I hold a seat for {{student name}}?
{{Institute}} — new {{subject}} batch for {{class}} starting {{date}}. {{Days}}, {{time}}. {{Seats}} seats. Free demo on {{date}}. Reply BOOK to reserve.
Dear {{Parent name}}, {{student name}}’s current batch finishes on {{date}}. The next level starts {{date}} — same timing, same teacher. Reply CONTINUE and I will carry the enrolment forward.

Before you send

  • Fee messages go to the parent privately, never in the batch group. A public fee reminder is the fastest way to lose a student.
  • Write to the parent, not the student, for anything about money, attendance or progress.
  • Repeat the specifics in every message — date, time, subject, amount. "As discussed" causes the phone call you were trying to avoid.
  • Match the language the parent writes in. A Hindi or Marathi message from a coaching centre reads as local and trustworthy, not unprofessional.
  • Send timetable changes the moment you know them, not the night before.
  • For a group, set the description and posting rules in the first message — that is what prevents forwards.
  • If you send these from the WhatsApp Business Platform to parents who have not messaged you first, they need to be approved templates in the Utility category.
  • Keep one number for the centre that stays with the centre. A teacher’s personal number takes the parent list with them when they leave.

Frequently asked

What message should I send for tuition classes on WhatsApp?

It depends which of the five recurring situations you are in: an admission enquiry, a fee reminder, a timing change, a test result, or an absence. Each needs different information, and the common failure is sending a vague message that triggers a phone call — "class timing changed" without the new time, or "fee pending" without the amount and date. Put the specifics in every message.

How do I write a WhatsApp message to parents about fees?

Privately, factually, and assuming it was missed rather than refused. Name the student, the amount, the month and the due date, include a way to pay, and add "if it is already paid, please ignore this". Never post a fee reminder in the batch group — it embarrasses the family in front of other parents and it costs you the student.

What should a coaching class WhatsApp group description say?

What the group is for, what may be posted, who may post, and where to take everything else. A description that says "official group for timings, homework and results — posts by admin only, fee queries to this number" is what prevents the group filling with forwards. Set it when you create the group, not after the first complaint.

How do I share online class links on WhatsApp?

Twice: once the evening before with the topic and what to prepare, and once about fifteen minutes before with just the link. The second message is what actually produces attendance. Keep the same link across a batch where the platform allows it, and announce clearly when a link changes.

Can I send these messages in bulk to all parents?

Yes, but the route matters. The free WhatsApp Business app broadcasts only to parents who have saved your number, which is usually a fraction of the list. The WhatsApp Business Platform reaches everyone who opted in, with the message going out as an individual chat rather than a group — which is what you want for anything mentioning a specific child.

Should I message in English or the local language?

Whichever the parent uses with you. A message in Hindi, Marathi or Tamil from a local coaching centre reads as approachable, not unprofessional, and gets read more carefully. Mixing is normal — English for the subject and class, the local language for the request.

Send these at scale, properly

Reputoo runs these on the official WhatsApp Business API — templates submitted for approval, personalisation from your own customer data, and delivery to everyone who opted in, whether or not they saved your number.
