WhatsApp marketing for gyms: rules, a campaign plan and costs

WhatsApp is where a gym's customers already read their messages — which is exactly why Meta polices it more tightly than email. Done right it brings people back without annoying them. Here are the rules, a campaign plan built around how gyms actually work, and what it costs.

Key takeaways

  • January, pre-summer and pre-wedding seasons are when gyms win members — plan campaigns for them.
  • Challenges and new batches give members a reason to come back that discounts do not.
  • Referral from members is the cheapest acquisition a gym has.
  • A campaign to 2,000 opted-in contacts costs about ₹1,726 on the July 1, 2026 rate card.

1.The rules gyms have to follow

Meta allows promotional messages only to people who agreed to receive them, only as approved marketing templates, and only with an easy way to stop. For a gym the practical question is where consent comes from. Trial sign-up and membership registration, plus a QR code at the front desk for class updates. A number printed on an invoice is not consent.

2.Opt-in from enquiries and members

Everyone who enquires gave their number for that enquiry. Ask, in the trial follow-up, whether they would like to hear about offers and new batches. Members can opt in at joining. Keep the marketing list separate from the member-service list.

3.A campaign plan for a gym

Build campaigns on moments that already happen in your customer's relationship with you, not on a calendar of generic promotions. Renewals before expiry, challenges and new batches, and win-back for members whose attendance has dropped off.

In practice, for a gym:

  1. New member gets welcome sequence — 5-day WhatsApp welcome: gym rules, class schedule, trainer introduction, first week tips. (utility template)
  2. Inactive after 10 days — re-engagement sent — Auto-message: "We miss you!" with class suggestions and personal trainer check-in. (marketing template)
  3. Renewal reminder 15 days before expiry — 15-day, 7-day, and 3-day reminders with easy renewal link and seasonal discount if applicable. (utility template)
  4. Monthly class schedule broadcast — Every month, new class schedule and special events broadcast to all active members. (marketing template)

Class reminders before the session, renewal reminders ahead of expiry, and re-engagement when a member stops showing up. Half of this plan is not "marketing" in Meta's sense. Confirmations and updates are utility messages — cheaper, and they build the trust the promotional ones depend on.

4.A gym's year

Before summerSummer-body challenges, new batchesAll opted-in
Before wedding seasonsPre-wedding programmesOpted-in contacts
After festivalsPost-festive reset challengesMembers and lapsed members

5.What it costs

Meta charges each delivered marketing message. A campaign to 1,000 opted-in customers in India costs about ₹863 plus GST in Meta fees; the same send elsewhere:

MarketMarketing messageUtility message
India₹0.8631₹0.115
United States$0.0250$0.0034
United Kingdom$0.0635$0.0220
UAE$0.0499$0.0157

Meta list rates, July 1, 2026. India in INR, plus 18% GST.

Reputoo does not add a per-message markup; you pay Meta's rate and your plan.

6.Challenges and batches

A six-week challenge, a new morning HIIT batch, a strength programme for beginners — these give members a goal and a reason to come in, and give lapsed members a way back. Announce them with dates, what is included, the price if any and a join button. Challenges build community in a way discounts never do.

7.Referrals

Members bring friends. A simple message — "Bring a friend for a free week; if they join, you get a month's extension" — sent to active members is cheap and effective. Keep the reward simple and honour it promptly.

8.Where campaigns go wrong

These are the problems gyms are usually trying to fix with WhatsApp:

  • January members gone by March.
  • Renewal reminders happen too late. Member's subscription expires. Nobody nudged them the week before. Now they're deciding whether to rejoin.
  • Inactive members ghost before cancelling.

A broadcast fixes none of them on its own. Segment first — recent customers, lapsed ones, people who asked about a specific thing — and send each group the one message that matters to it. Smaller, relevant sends get more replies and fewer blocks than one big blast.

9.Measuring what a gym's campaigns earn

Reads show a message arrived; replies, bookings and orders show it worked. Reputoo attributes revenue to the campaign that brought each customer back, so you can drop the sends that only produce reads.

10.Win-back for lapsed members

Former members who left in the last year are the best prospects you have. A personal message before your big seasons — what is new, a returning-member offer, a free week back — brings a share of them back. Send it once per season.

11.Following up enquiries that did not join

People who enquired or took a trial but did not join often just needed time. One follow-up a few weeks later, and a message before January or summer, converts some of them. Stop after that; repeated chasing annoys.

12.Writing a gym message

Our 6-week Strong Start challenge begins 3 March — 3 coached sessions a week, a body-composition check at start and end, ₹3,999 for members. 20 spots. [Join the challenge]

(Programme and price are an example.) Avoid before-and-after body photos and weight-loss promises; they attract complaints and do not build trust.

13.What campaigns cost

At ₹0.8631 per marketing message on Meta's July 1, 2026 India rate card, a campaign to 2,000 contacts costs ₹1,726, plus GST. Renewal reminders are utility messages at ₹0.115. One new member usually pays for the campaign.

14.Frequency

Two or three campaigns a month in peak seasons, fewer otherwise. Members want renewal reminders and class news; they block gyms that send daily offers.

15.Segments a gym already has

  • Active members — want class news, challenges and renewal reminders.
  • Drifting members — few check-ins recently; need encouragement, not offers.
  • Lapsed members — left in the last year.
  • Enquiries and trials — did not join yet.
  • Corporate contacts — group renewals and new employees.

Each gets different messages. A discount to an active member is wasted margin; a challenge to a lapsed member is a reason to come back.

16.New equipment and facilities

A new strength zone, a renovated changing room, a sauna — facility news gives members a reason to come in and prospects a reason to visit. A real photo and one line is enough.

17.Trainer spotlights

Introducing a trainer — their speciality, their classes, a free consultation slot — builds the personal connection that keeps members. Send it to members whose interests match the trainer's speciality.

19.Measuring

Count trials, joins, renewals and returning members from each campaign. Reputoo attributes them to the message that prompted them. Watch opt-outs after each send.

20.Photos and claims

Use real photos of your gym, classes and trainers. Avoid shirtless transformation shots and promises like "lose 10 kg in a month" — they attract the wrong expectations and complaints.

21.Corporate wellness campaigns

Before the new financial year and at appraisal seasons, a message to HR contacts at local companies about group memberships and wellness sessions reaches buyers who sign up dozens of members at once. Keep corporate contacts on their own list.

22.Community events

Fun runs, yoga in the park, a charity workout — events bring members' friends to the gym and build community. Announce them to members and opted-in contacts with a registration button, and ask attendees whether they would like to hear about trials.

23.Renewal campaigns that are not discounts

Rather than cutting renewal prices, add something: a free PT session, a body-composition check, access to a new batch. Members feel rewarded for staying, and the gym keeps its price.

24.Writing for motivation

Encourage without shaming. "Start where you are" beats "get beach-ready". Messages that respect members' goals keep them reading; messages that pressure them get blocked.

25.Summer and holiday schedules

Holiday seasons change members' routines. A message with holiday hours, special batches for students on vacation, and travel freezes — sent before the season — keeps members engaged instead of lapsing when their routine breaks.

26.Milestone messages

A member's hundredth visit, first anniversary or completed challenge is worth a short congratulations — from their trainer if they have one. Recognition keeps members more than any discount, and costs almost nothing.

27.What not to send

Avoid daily motivational quotes, before-and-after bodies, crash-diet tips and constant flash sales. They fill members' phones without bringing them through the door, and they cost quality rating.

28.Writing a renewal message

Hi Priya, your membership ends on 30 April. Renew for 6 months and your next body-composition check is on us. [Renew now] [Talk to us]

(Name, date and offer are an example.) The added benefit, not a discount, is the reason to renew now. A message with an added benefit is marketing; a plain reminder is utility.

29.Batches for specific groups

Women-only hours, senior fitness, teen batches, pre- and post-natal classes: announcing them to the right people — opted-in contacts who asked about them, or members who fit — fills them with people who were waiting for exactly that.

30.Pre-sale for a new branch

Before a new branch opens, a founding-member offer to opted-in contacts who live or work nearby fills the first months. Share the location, the opening date, the facilities and the founding price, with a deadline and a button to reserve.

31.Following trainers' programmes

Trainers launching a new programme — a strength cycle, a running club, a mobility series — can announce it to members whose interests fit. It gives members a new goal and gives trainers a way to fill their sessions.

32.Timing within the day

Send gym campaigns in the evening, when people are planning tomorrow, or early on a Sunday, when they are planning the week. A message at 2 pm on a Tuesday competes with work and is quickly forgotten.

33.Frequently asked questions

How often should a gym send WhatsApp promotions?

Less often than email — a relevant message every week or two to an engaged segment beats daily sends to everyone. Watch your quality rating in WhatsApp Manager; if it drops, send less and segment more.

Can gyms send WhatsApp broadcasts to customers who never opted in?

No. Meta requires opt-in before a business starts a conversation, and messaging people who did not ask is the fastest way to get a number restricted. Collect opt-in at the moments customers already give you their number.

When should a gym run WhatsApp campaigns?

Around January, before summer and before wedding seasons — when people decide to start — plus after festivals. Renewal reminders run all year individually.

What should a gym campaign offer?

A challenge, a new batch or a starter programme with clear dates and contents works better than a bare discount. Avoid before-and-after photos and weight-loss promises.

Should gyms message people who took a trial but did not join?

Once a few weeks later, and once before the next big season. More than that becomes chasing.

How do gyms bring back lapsed members?

With a personal message before a big season — what is new, a free week back or a returning-member offer — sent once per season.

Should gyms send daily motivational messages?

No. They crowd members' phones without bringing them in. Class news, challenges, milestones and renewal reminders do far more.

Can a gym pre-sell memberships for a new branch on WhatsApp?

Yes — a founding-member offer to opted-in contacts nearby, with the location, opening date, facilities, price and a reserve button.

Can members book classes via WhatsApp?

Yes. Members text your WhatsApp to see the class schedule and book a spot. The bot confirms their slot and sends a reminder before class.

How do I send monthly class schedules to all gym members?

Use WhatsApp Broadcast. One message to your full member list with the monthly schedule and new class additions. Far more members see it than would see an email.
