An AI voice agent for salons: answer every call
Plenty of a salon's customers still pick up the phone — and a call that rings out often goes to whoever answers next. An AI voice agent picks up every call, on your existing number, in the caller's language, and does the same work your front desk does on the phone. Here is what that covers for salons.
Fact-checked against Meta's WhatsApp rate card and vendors' own pricing pages

Key takeaways
- Salon calls come when stylists have their hands in someone's hair — the calls that most often go unanswered.
- The voice agent books by service, stylist and duration, then sends the confirmation on WhatsApp.
- Forward only unanswered or after-hours calls if you want regulars to keep reaching the front desk.
- Around 60 minutes of calls a day costs roughly ₹7,200–₹21,600 a month in minutes, plus the ₹1,999 add-on.

1.Why salons miss so many calls
The phone in a salon rings at the worst possible moment: during a cut, a colour application, a blow-dry. Stylists cannot stop, the receptionist is billing someone, and the call rings out. Evenings and Sundays — when many people plan their week — are when the salon is busiest or closed.
Most of those calls are simple: a booking, a price, "are you open today?". The client who gets no answer does not usually call back; they call the next salon on the map. A voice agent's job is to make sure that call is answered, every time, by something that can actually book the appointment.

2.Calls the agent handles
Vajra, Reputoo's voice agent, runs the same workflows over the phone that the WhatsApp agent runs in chat:
- Customer books via WhatsApp 24/7 — Bot shows available slots, confirms booking with stylist preference — no calls needed.
- 24hr & 2hr reminders sent automatically — WhatsApp reminder with appointment details and one-tap confirm or reschedule.
- Post-service rebook prompt — After each service, the client gets a thank-you and a booking link for their next appointment.
- Win-back for clients not seen in 45 days — Auto-message lapsed clients with a personalised "Time for a touch-up?" offer.
After each call the caller can get a WhatsApp message with the details, and staff see the call in the call log.
3.A booking call, start to finish
Example call — names, services and times are placeholders.
Agent: Hello, Glow Studio. This is the salon's assistant — how can I help?
Caller: I want to get my hair coloured this weekend. With Priya if possible.
Agent: Priya does colour on Saturday and Sunday. Is it a root touch-up or full colour?
Caller: Full colour. My hair is shoulder length.
Agent: Full colour takes about two and a half hours. Priya has Saturday at 11 am or Sunday at 2 pm. Which suits you?
Caller: Saturday 11.
Agent: Booked — full colour with Priya, Saturday at 11 am. Since it's colour, please drop in for a quick patch test before then. I'm sending the details and the price range for shoulder-length hair to your WhatsApp now.
The agent asked only what it needed, offered only slots long enough for the service, remembered the patch test, and moved the details to WhatsApp where the client can read them again.
4.Services, durations and stylists on the phone
Voice booking fails when the agent treats every service as the same length. Give it the menu with durations and the stylists who do each service, and it will only offer slots that fit. Callers also use their own words — "cutting", "hair spa", "smoothening", "rebonding", "facial for glow" — so add the names your clients use to the menu. When a caller asks for something the agent cannot place, it should ask one clarifying question, then take a message for a stylist rather than guess.
5.The greeting and the goodbye
Answer with the salon's own name and say early that the caller is speaking to the salon's assistant, with a person available if they want one — callers accept an assistant far more readily when they know they are not trapped with it. End every booking call the same way: the service, the stylist, the day and time read back once more, and a line saying the details are on their way to WhatsApp. A call that ends clearly does not turn into a "just checking my booking" call two days later.
6.Languages, hours and handover
- 36 languages, switching to the caller's — useful where customers mix languages in one sentence.
- After hours it takes the booking or the message instead of letting the call ring out.
- Live transfer to a staff member when the caller asks for one or the call needs a person.
- Outbound calls for reminders and follow-ups, within the calling hours you set. Reminders the day before and a rebooking nudge about when the next cut or colour is due — which differs by service.
What stays with your staff: Colour corrections, reactions to products, and anything about a service the client was unhappy with need the stylist or owner.
7.Cancellations and reschedules by phone
Callers who need to cancel often feel awkward about it, and a missed call means they simply do not turn up. The agent makes it easy: it finds the booking by the caller's number, offers new slots with the same stylist, or cancels and applies your policy — telling the caller plainly what happens to any deposit. A late cancellation or a request for an exception is taken as a message for the owner.
8.Outbound calls that fill the book
Within the hours you set, the agent can call out as well. Two uses fit a salon well: confirming long appointments the day before, where a no-show costs the most; and calling the waiting list when a slot opens — "Priya has had a cancellation at 3 pm today, would you like it?". Keep outbound calls to clients with a booking or a waiting-list request. Cold-calling your client list is not what they gave you their number for.
9.Late arrivals and running behind
"I'm stuck in traffic, I'll be 20 minutes late" is one of the most common salon calls, and the right answer depends on the stylist's day. The agent can check whether the stylist has room after the booking: if so, it confirms the later start; if not, it offers a shorter version of the service or a new slot, following the rule you gave it. Either way the stylist is told before the client walks in, instead of finding out at the chair.
10.After hours, Sundays and fully booked days
Many salon calls come after closing, from people planning the week ahead. The agent books them straight into the calendar, so the morning starts with appointments rather than a list of missed calls to return. On fully booked days it does not simply say no: it offers the earliest slot with the requested stylist, the same day with another stylist who does the service, or a place on the waiting list for a cancellation. On the day the salon is closed, it says so, and books the caller into the next open day.
11.What it costs
A monthly voice add-on of ₹1,999 (or $29) on top of your Reputoo plan, plus call minutes billed from a prepaid wallet at ₹4–12 a minute depending on the number and route.
Compare that with the cost of the calls going unanswered, or with the hours staff spend on routine calls, and decide from your own call volume.

12.Bridal and group enquiries by phone
Brides and their families often prefer to call. The agent takes the essentials — the date, the number of people, the services and whether they want a trial — sends a WhatsApp message asking for reference photos, and books a callback with the bridal lead at a time that suits the caller. The enquiry is captured in full at the moment of interest, and the conversation that sells the package happens with a person.
13.What it costs for a salon
Say the salon gets 25 calls a day at about two and a half minutes each: around 60 minutes a day, roughly 1,800 minutes a month. At ₹4–12 a minute from the prepaid wallet that is ₹7,200–₹21,600 a month in minutes, plus the ₹1,999 monthly voice add-on on your Reputoo plan. Forwarding only unanswered and after-hours calls brings the minutes down further. Set it against the bookings that currently ring out.
14.Setting it up
- Add the service menu with durations and price ranges, and each stylist's services and days off.
- Add the words your clients use for services, in every language you hear at reception.
- Choose the forwarding rule — unanswered calls, after hours, or all calls.
- Make test calls for a short service, a long colour, a reschedule and a bridal enquiry.
- Read the first week's call summaries daily and fix what the agent misheard or could not place.
15.Calls in the languages your clients speak
Salon clients often switch languages mid-sentence — English service names inside a Hindi, Tamil or Marathi sentence. The agent follows the caller's language and keeps the service names as the caller says them, then confirms in the same mix. Add the local names clients use ("threading", "eyebrows", "hair spa", "rebonding") to the menu so every version maps to the right service and duration.
16.Measuring whether it is working
Compare a month before and after on three things: calls that rang out, bookings made by phone, and interruptions at the chair. Then read the call summaries for patterns — a service the agent keeps asking about twice, a stylist's name it mishears, a question it hands over that one more line in the menu would answer. Fix those each week, and the calls get shorter and the handovers rarer.
17.Frequently asked questions
Can a salon keep its existing phone number?
Yes. Calls can be forwarded from your current number to the agent — all of them, only when unanswered, or only after hours — so customers keep dialling the number they know.
Does an AI voice agent sound robotic?
Vajra uses natural-sounding voices in each supported language. Tell callers at the start that they are speaking with an AI assistant, and let them ask for a person at any time — being upfront costs nothing and keeps trust.
Can the voice agent book a salon client with their usual stylist?
Yes. It recognises returning callers by number, offers their usual stylist first, and only suggests slots long enough for the service they ask for.
What does the voice agent do if a caller wants to speak to the salon owner?
It transfers the call during opening hours, or takes a message and a callback time when nobody is free. Callers are never made to argue with the agent to reach a person.
How much does an AI voice agent cost a salon in India?
A ₹1,999 monthly voice add-on plus call minutes at ₹4–12 a minute from a prepaid wallet. A salon with about 60 minutes of calls a day would spend roughly ₹7,200–₹21,600 a month on minutes.
Can a salon use the voice agent only when the phone is not answered?
Yes. Most salons start that way: calls ring at reception first and go to the agent only if nobody picks up within a few rings, or after closing time. Regulars still reach a person when someone is free, and the calls that used to ring out are answered and booked.
Does the voice agent send a confirmation after a salon booking call?
Yes. Every booking made on the phone is followed by a WhatsApp message with the service, stylist, date, time and any deposit or patch-test note, so the client has it in writing and can reply to change it.
Can clients book salon appointments via WhatsApp?
Yes. Reputoo's chatbot shows available slots, lets clients pick their preferred stylist, and confirms the booking — all on WhatsApp, 24/7 without any staff involvement.
Can I run a loyalty program for my salon on WhatsApp?
Yes. Clients earn points on every service, get notified on WhatsApp, and redeem rewards. No stamp cards, no app downloads — fully WhatsApp-based.
